COMMUNICATIONS AND ADMINISTRATION COORDINATOR – JOB DESCRIPTION

Job Overview:

The Nova Scotia Sea School is seeking a passionate, highly-motivated, and independent individual to work full-time as a Communications and Administration Coordinator with our non-profit organization. Reporting to the Executive Director and the Program Recruitment & Logistics Coordinator, this unique position will manage the day to day activities of the organization including: supporting staff members, marketing, communications, general operations and office support, maintaining the experiential education programs logistics and administration, donor recognition, and attending promotional and networking events on behalf of the organization. All of these duties require strong organization, flexibility, excellent communication skills, responsiveness to unexpected scenarios and commitment to follow through. Ideal candidates will excel in verbal and written communication, work with diverse groups of individuals and be able to work in a fast-pace environment. Job Details:

  • 1year contract with possibility of extension
  • Starts Monday May 21st 2018
  • 37.5 hours per week, $31,200 per annum
  • Lunenburg based position – with options of remote work throughout off-season
  • Own or have unlimited access to a car
  • Criminal Record Check and Child Abuse registry – cleared.
  • Flexible work schedule – work on weekends/evenings in busy season (summer)

Tasks / Duties:

Communications

  • Supporting recruitment and outreach efforts for attracting teenage youth to summer sailing expeditions and day sails through a variety of communication methods including: print, PSA’s, social media, newsletters, events/presentations and workshops;
  • Manage the website and all social media (Facebook, Twitter, Instagram, YouTube);
  • Act as a resource to the program and field staff, volunteers, families, participants, community partners, others;
  • Respond to communications/activities using the values and approaches of the Sea School
  • Manage feedback, evaluations, and program reports;
  • Assist with all aspects of the start and end of trips (greeting participants, gathering forms, assisting with packing, etc);
  • Handle all inquiries within scope of position capacity

Administration

  • Manages program/workflow – Ensure programs are on schedule and deadlines are adhered to
    • Support and liaise with provisions staff, participants, parents, volunteers, field staff, community partners, and others
    • Prepare information required for trip, medicals, emergency contacts, etc.;
  • Maintain procedure manuals, databases, other to ensure consistent performance of routines;
  • Support Program Recruitment & Logistics Coordinator with managing enrollment and payments;
  • Support with financial book keeping practices as they relate to accounts payable, receivable, timesheets and payroll;
  • Support the Executive Director with administrative aspects of fundraising projects and functions;
  • File paper and electronic materials accordingly and manage office housekeeping;
  • Update mail/phone directories;
  • Participate in Emergency Action Protocol training and support on-call logistics for a negotiated portion of the summer;
  • Seek greater role in projects within administrative and other areas of competence;
  • Perform other duties as required

Qualifications/Assets:

  • Post-secondary education in either: communications, public relations, business administration, or outdoor recreation management
  • Please identify if you are a new graduate from a post-secondary school within 1 year of application date (not mandatory)
  • Please identify if you have a current employment insurance (EI) claim, had an EI claim that ended within the last 5 years, have had an EI claim for maternity or parental benefits within the past five years (not mandatory)
  • Experience working directly with vulnerable and marginalized youth is preferred
  • Experience in public relations/event –planning/facilitation
  • Prepared to participate in training and respond to major and minor incidents alongside staff and board members
  • Exceptional organizational skills
  • Independent worker with high motivation and drive
  • Strong understanding of all aspects of Google drive and social media applications
  • Valid driver’s license with unlimited access to a car
  • Experience in sailing/multi-day adventure coordination OR instruction/camp preferred.
  • Risk management and assessment experience preferred
  • Nonprofit and/or outdoor experience preferred
  • First Aid / Wilderness First Aid or similar (not mandatory)

The Sea School offers primarily teenagers, ages 14 to 18, adventure experiences that transform how they see themselves, the world around them and their capacity to contribute to our society. From the simple experience of life on a small boat or building something with their hands youth gain the confidence and awareness to make important decisions about their lives. The Sea School delivers multi-day expeditions on sailboats, on remote islands learning farming and wilderness skills and in heritage places doing community service projects. Each year the school impacts over 200 teenagers on programs, and works with 40 community partners.  Over 50% of our participants are supported through our bursary program and leadership development fund. The 2018 summer season will staff 25 instructors and office personnel and 15 young leaders to deliver safe, high quality and life changing experiences in the outdoors.
