Course Coordination and Operations Manager
Job Purpose
The main purpose of this job is to ensure that WMA Canada Ltd courses are scheduled, organized, supported, and invoiced in a timely and professional manner. This includes maintaining effective relationships and communication with course sponsors, instructors, USA/Canada office staff and vendors.
Responsibilities
Primary responsibilities are likely to occur on a daily basis while secondary responsibilities may occur on a weekly or as needed basis. While many of these duties are independent, successful completion of responsibilities will occur working in conjunction and communicating with other admin staff, WMA management, and instructors.
Primary Responsibilities:
- Confirm all courses (sponsor and instructor sponsor) within Canada including all necessary administration and related data entry.
- Schedule instructors for all courses.
- Coordinate logistics for all courses, including course packing, gear requests, book/equipment shipping, book orders, paperwork, cert printing, and data management.
- Communicate with instructors to share course and sponsor information and provide further info and support as needed. This could include helping with travel arrangements (hotel, flight, etc) .
- Act as the main contact for all Canadian students and clients by answering all incoming emails and phone calls.
- Maintain all database and electronic course files.
- Manage admin inventory (paper, envelopes, etc) within office.
- Manage course supply inventory. This includes items such as fast pack gear, blank cert cards, patches, books, and all other supplies that are used on course.
Secondary Responsibilities:
- Keep office clean, organized and professional looking as required.
- As directed by WMA Canada bookkeeper and Operations Director, assist as required with data entry into accounting software and coordinate accounts payable/receivable.
- Monitor and assist with office IT systems.
- Coordinate any part time seasonal staff for their logistic duties.
- Organize and schedule instructor meetings.
Elective Responsibilities:
These responsibilities occur occasionally and only if primary and secondary duties are done successfully and in a timely fashion.
- Assist with Canadian WMA social media.
- Assist with out of office work including outreach to potential students and sponsors. This may include festivals, trade shows, workshops and presentations.
Required Skills
- Ability to work independently
- At least two years of relevant administrative work experience
- Excellent time management and organizational skills and ability to multi-task and prioritize work and multiple projects
- Strong written and verbal communication skills
- Ability to manage and work well with others
- Skilled in MS Office Suite
Annual Salary: $40,000 plus benefits.
